Clarification Text on the Processing of Personal Data Collected Through Forms

The TULCAS website (tulcas.org) collects certain personal data (such as your name, surname, e-mail address, password, institution, and phone number) in order to provide conference services, manage participant registrations, fulfill legal obligations arising from the Turkish Personal Data Protection Law No. 6698 (KVKK), and carry out organizational processes.

Your personal data will be processed and stored securely based on the legal grounds specified under the applicable legislation and, where required, your explicit consent. Such data will not be used for purposes other than those stated in this Clarification Text.

 

Purpose of Processing Personal Data

Personal data collected through tulcas.org may be processed for the following purposes:

  • Managing participant registration and user accounts
  • Organizing conference sessions, workshops, and scientific activities
  • Communicating important announcements regarding the conference
  • Preparing participation certificates and conference documentation
  • Processing paper submissions and peer-review procedures
  • Fulfilling legal obligations arising from applicable legislation
  • Responding to participant requests, questions, and support inquiries
  • Improving the quality and security of conference services

Personal data may be collected, recorded, stored, updated, processed, and preserved through automated or non-automated means only to the extent necessary for the purposes stated above.

 

Transfer of Personal Data

Personal data may be shared, only where necessary and in accordance with applicable legislation, with:

  • Authorized public institutions and governmental authorities
  • Conference organizing committee members
  • Scientific committee members and reviewers (only where required for the review process)
  • Technical service providers supporting conference management systems
  • Payment service providers (when applicable)
  • Other institutions where disclosure is required by law

Personal data will not be sold or disclosed to unrelated third parties for commercial purposes.

 

Method of Collecting Personal Data

Your personal data may be collected through registration forms, abstract submission forms, contact forms, electronic communications, and other digital services available on the tulcas.org website.

 

Deletion, Destruction, or Anonymization of Personal Data

In accordance with Article 7 of the Turkish Personal Data Protection Law No. 6698, personal data shall be deleted, destroyed, or anonymized when the legal grounds requiring their processing no longer exist.

Upon receiving a valid request from the data subject:

  1. If the legal conditions for processing no longer exist, the requested personal data will be deleted, destroyed, or anonymized within the legally prescribed period.
  2. If the personal data has been transferred to third parties, the relevant recipients will be informed so that the necessary actions can be taken.
  3. If legal grounds for processing continue to exist, the request may be rejected with justification in accordance with applicable legislation.

 

Your Rights Under the Turkish Personal Data Protection Law (KVKK)

Under Article 11 of Law No. 6698, data subjects have the right to:

  • Learn whether their personal data is being processed
  • Request information regarding processed personal data
  • Learn the purpose of processing and whether it is used accordingly
  • Know the third parties to whom personal data has been transferred
  • Request correction of incomplete or inaccurate personal data
  • Request deletion, destruction, or anonymization of personal data under legal conditions
  • Request notification of such corrections or deletions to third parties
  • Object to decisions based solely on automated processing
  • Request compensation for damages arising from unlawful processing of personal data

 

Information that cannot be used to identify an individual may be used for statistical analysis, service improvement, and reporting purposes and may be shared in anonymized form where permitted by law.
